Your data is stored in PostgreSQL databases with row-level security (RLS) ensuring strict tenant isolation. We use encryption in transit (TLS) and at rest. We implement industry-standard security measures to protect your information.

4. Third-Party Services

We use third-party services to operate our platform. These may include:

• AI Services: Anthropic (Claude) for AI-powered features. Your prompts are processed but not used to train models.
• Payment Processing: Helcim for payment processing. We do not store credit card numbers.
• Communication: Twilio for SMS and voice services. Postmark for transactional email.
• Speech Services: Cartesia (text-to-speech) and Deepgram (speech-to-text) for voice features.

5. Browser Extension (Reach by V2S)

Reach is an optional Chrome browser extension that connects your Vibe2Scribe platform to external websites you already use. This section describes how Reach handles your information.

What Reach Accesses

• Page content on authorized sites: When your platform sends a task to Reach, the extension reads structured data (such as company names, page titles, or record lists) from sites you are already logged into.
• Your existing login sessions: Reach uses your browser's existing cookies and sessions to access sites on your behalf. It does not store, transmit, or manage any login credentials.
• Tab information: Reach reads tab URLs and titles to route tasks to the correct browser tab.

What Reach Does Not Do

• Collect your browsing history, keystrokes, or personal data
• Access any website you have not authorized through the platform
• Transmit data to any server other than your own Vibe2Scribe platform instance
• Run in the background when not responding to a platform task
• Store cookies, credentials, or session tokens of its own
• Track your activity across websites

How Communication Works

All communication between Reach and your platform stays within your browser:

• Your platform sends a task to the extension via in-browser messaging
• The extension executes the task on the target site (e.g., reading a list of records)
• Results are sent back to your platform through the same in-browser channel
• No data passes through external servers during this process

Permissions Explained

• tabs: Required to find and route tasks to the correct browser tab
• scripting: Required to inject task-specific code into authorized target sites on demand
• host_permissions: Limited to your platform URL and explicitly declared target sites. Additional sites require your explicit approval via optional permissions.

6. Your Data Rights

You have the right to:

• Access your personal data at any time
• Export all your data in standard formats (CSV, JSON)
• Delete your account and all associated data
• Correct any inaccurate information
• Port your data to another service

Your data is yours. We do not sell, rent, or share your personal information with third parties for their marketing purposes.

7. Data Retention

We retain your data for as long as your account is active. If your account becomes inactive, we send reminders at 2, 4, 8, and 10 weeks before archiving (not deleting) your data. You can reactivate at any time. Upon account deletion request, we permanently remove your data within 30 days.

8. Cookies

We use essential cookies for authentication and session management. We do not use third-party advertising or tracking cookies. The Reach browser extension does not set or read any cookies of its own.

9. Children's Privacy

Our platform is designed for business use and is not directed at children under 13. We do not knowingly collect information from children under 13.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date.
